Brian, good suggestion. You’re absolutely right. If you want to ever retire, you have to get new people involved and excited at a board level, and then be willing to let go of the reins when it’s their time. Took me 20 years, but I finally did. Unfortunately, it still didn’t go smoothly. Back in the ’90’s, I did a similar thing only it was in person. I started holding a monthly board meeting to keep things moving and keep people accountable for following up on what they volunteered to do. At first it was just the officers and then it expanded to event planners. But it was always advertised and open to all members. It kept growing until we ran out of space at the diner we were at and had to find a bigger place. Eventually, it became a social gathering instead of a business meeting, though. At it’s peak, we had 30+ Vipers coming to the monthly dinner meetings. It actually helped build enthusiasm with more members and got them involved, but I didn’t get “business” accomplished.

Thru 6 months, the Capital Vipers have grown 57% year-over-year from 46 to 72 as of today.
I am glad I listened to our officers and started conducting monthly virtual membership meetings. It helped us create momentum that carried thru into 2021. What the officers and board have developed, is a system. A system to market, entice, and involved. Market with social media. Entice with fun events. Entice to participate. Involve in the club.

I want to share the monthly CVOA meetings we started in August of 2020 and has increased officer, board, and membership involvement as we move toward best practices.
First, why did we do this. The officers wanted monthly meetings to increase accountability and for the Board and Membership to connect. The CVOA challenge was how to involve 50 members scattered over 52,000 square miles. Half were within Metro DC. For the other half, who would want to drive to DC? Bad enough living here 😉 For those living here, travelling for an evening meeting may mean leaving work after lunch to make it on time. Enter COVID and Working at home with Zoom, Teams, Skype, Webex, etc. We decided to use the tools at our disposal. The result is over a third of membership (Officers, Board, Members) now attending monthly meetings.

– Reports
a. Secretary Report – Reading previous month minutes
b. Treasure Report – Monthly income, expenses, cash balance, future income and expenses
c. Membership Report – Membership year over year, new members, Area changes and updates
d. Area Dir Report – Events, sponsorships, membership
e. Marketing Report – Apparel, gear, website, sponsorships
f. Motorsport Report – Autocross, HPDS, etc.

– Our by-laws specify $200 is the maximum Officer expenditure without approval. However, we approve expenditures prior to an event or purchase. This ensures all spending is appropriate and creates a good audit trail for our annual audit.
– Presenting Officer or Board Member of requested expense does not vote. Example – It is assumed if President presents an idea, President is a YES. We want an impartial approval and the President does not vote.The full board meets for 30 minutes prior to ensure agenda is correct and we know what needs to be discussed.
The membership meeting then lasts for roughly 60 minutes with President ensuring the meeting keeps moving to respect time.
Our intention is to create a duplicatable process, make the process look easy, make the process actually easy, and encourage members to want to participate on the Board or as an Officer as we collectively work towards best practices.
Accomplishing small tasks monthly makes running a region doable. Officers and Board can hold each other accountable. We have experience of not conducting monthly meetings and being overwhelmed with the work we put off. That is not fun.
I encourage you to consider creating a system to encourage your membership to be willing to participate in running your region. When it is all about a single person or a few people, it may look hard and difficult. Volunteers do not need hard and difficult. We have businesses, jobs, spouses, kids, and more. We need easy and fun.
If I get hit by a Corvette, then the region needs to run without me. I want the CVOA to have a system to attract and retain Viper owners because it is fun and offers a variety of activities to enjoy a Viper. I want people to know being on the board and being an officer is easy. I, along with our longer serving Officers, want to retire. The only way to do that is to have a system, develop leadership, and let them take over.
